FAQ

Frequently asked questions

What venue owners and managers ask us before getting started.

Which documents can ID Scan read?

The Costa Rican national ID (through its encrypted barcode), the Costa Rican driver’s license, passports from any country (through the MRZ zone of the international ICAO 9303 standard), the DIMEX residency card and foreign IDs with an MRZ zone, and US/Canadian driver’s licenses (AAMVA standard). Any other document can be captured via camera OCR or registered manually.

Does it work without internet?

Yes. Scanning and document reading happen on the phone itself. If the connection drops, the app keeps working in offline mode and syncs records automatically when the signal returns.

What equipment do I need?

Any Android phone for each entrance and a web browser for management. The scanner uses the phone’s camera: no dedicated readers or special hardware required.

Does it detect fake documents?

ID Scan validates the technical structure of the document: the encrypted barcode of the Costa Rican cédula only decodes if it is authentic, and passport MRZ zones include check digits that are verified on the spot. A read that doesn’t add up is rejected. This eliminates most attempts with altered or invented documents.

How do ban lists work?

Each venue manages its lists from the dashboard: ban (no entry), warning (entry with special attention) and VIP. When a document is scanned, the system checks the person against the lists and the doorman sees a traffic-light result instantly. Lists can be bulk-loaded from Excel/CSV.

Does it work for private events with a guest list?

Yes — it’s one of the main use cases. The admin bulk-loads the guest list from an Excel/CSV file and, when guests arrive, they just show their ID: the app instantly says whether they’re on the list or not. No printed sheets, no searching names by hand, no arguments at the door.

Does it work for multiple venues?

Yes. The platform is multi-venue: each location has its entrances, lists and occupancy, and management sees the whole group in a single account. The system even detects when a customer moves between locations on the same night.

What data does the system store, and is it legal?

The system records identification data from the document (name, number, date of birth, nationality) and the visit history. Personal data processing in Costa Rica is regulated by Law 8968; as part of the rollout we guide venues on notice and processing best practices. Data access is role-limited: door staff only see what they need to operate.

What if a document can’t be scanned?

The app offers two alternatives: camera OCR capture (the system extracts the text from the document) or manual entry. The line never stops because of a damaged document.

How much does it cost?

Pricing depends on the size of the operation: number of venues, entrances and visit volume. Request a demo and we’ll prepare a tailored proposal, no strings attached.

How long does implementation take?

A single venue can be up and running in a matter of days: the account is configured, the app is installed on the phones and door staff are trained — they learn it in minutes.
